Do the boring back-end stuff first

It’s best practice to familiarise yourself with the HubSpot surroundings early on, whether you’re part of the marketing or sales team.

It’s easy to get started and is something you can do by yourself. All you need to get going is the name and email address of each person you’d like to make a user in HubSpot. This allows you to set up the account admin too. 

Some marketers might forget to change these basic settings. In your HubSpot account, go to the main navigation bar to access the key settings.

  • Time zone - In Account Defaults, click the ‘Time zone’ dropdown menu and select which time zone you’d like to set on your account. (This nifty setting also localises several of your HubSpot tools, including scheduled email sends, social media messages and analytics).
  • Currency - Click the dropdown menu to select the currency you would like the revenue and costs to be displayed in. 
  • Language - Click the dropdown menu and select one of the supported languages (English, Brazilian Portuguese, French, German, Japanese, and Spanish). This setting changes the default language of the entire HubSpot interface. 

When you’re setting up your portal, make sure everyone who needs access has it. It sounds simple but you'd be surprised at how easy it is to overlook!

HubSpot allows you to give different users different levels of access. However, while this is a great feature overall, it can be confusing to set up.

  • HubSpot User - the user has access to all of the fantastic HubSpot tools and you can edit their permissions to make them an admin. 
  • Super Admin - not just a cool title, the user has automatic access to all tools and settings too.
  • Blog Author - the user has access to the blog tool only and can save articles as drafts, but can’t publish them. 
  • Blog Publisher - the user has access to the blog tool but can also save and publish articles

How long should it take to implement HubSpot?

With a tool as heavy duty as HubSpot, you better believe there are a lot of great settings you can play around with. 

However, HubSpot requires a bit of work to set up each account, but don't let that put you off. It really depends on the level of integration and there are some parts of HubSpot which you can start using immediately like email and social.

If you’ve got a completely new portal, the good news is that you have all of the power in your hands to set things up just for you. Another great thing is that there are loads of amazing resources to help you get started. Adding users allows you to get additional help from others and in this way, you can include people such as HubSpot partners, blog authors and sales reps in your portal to pitch.

Realistically, you’re not going to be able to dedicate all your time to implementing HubSpot. You have other marketing responsibilities and need to educate other staff members about the wonders of the platform too.

After setting up so many HubSpot portals, we’ve learned there are some hidden pieces to the puzzle that you definitely want to add to your setup checklist. 

☑️Make sure to spend some time deciding on what data is most important in your marketing and sales process. While doing a basic contact import is simple and gets the job done, you may find you have additional data that you want to bring into HubSpot that doesn’t fit perfectly into its out-of-the-box contact properties. We recommend creating custom properties beforehand, so you can set them up properly.

☑️After you import your contacts database, be sure to upload your Do Not Email or Opt Out list too. This is a list of people who have unsubscribed from your email communications and won’t appreciate your latest product release or newsletter. 

☑️Make sure your blog template is looking fabulous. If you’re unsure on how to create compelling email templates, our marketers are well equipped with some tips and tricks to get you on your way. 

☑️Connect your social media accounts to HubSpot, it’s simple and gives you important insights into engagement, interaction and target audience.

☑️Install the tracking code on every page as this lets you take advantage of all of HubSpot’s features and most importantly, makes the entire software work. It’s a tiny piece of JavaScript code that gives you access to valuable insights. (If you’re a HubSpot Basic customer or you’re hosting your website with HubSpot. The tracking code is automatically installed on your HubSpot site btw)

☑️HubSpot requires Basic plan customers to host their entire website on there, while Pro and Enterprise users can host their entire website with an outside host if necessary. Remember, you’ll still need to connect a subdomain. Webmasters or a HubSpot certified partner can help you accomplish this.

☑️Integrate your CRM with HubSpot, your sales team can access and use HubSpot's contact intelligence on those leads within your CRM. This also gives marketers a way to use analytics so you can have a better idea of the success of your campaign.

Ultimately, it all depends on what you have to give to the set up of HubSpot properly. If you have limited time, you might feel rushed and miss important settings, delaying leads and inbound success.
