3. Data migration

We follow a five steps process for the migration; Kickoff: Mapping, Test, Full integration and Quality Assurance.

Phase 1

Migration Assessment

A migration assessment saves you time and money and is mandatory for all of our clients. Often times there can be a lack of structure in our clients’ existing systems and with an assessment we make sure that you have the right foundation for growth.

The timeline is approx. 1-2 weeks from the first meeting.

Phase 2

Optional data assessment

With this add-on we check your data and propose data cleansing efforts to get quality data into HubSpot.

  • Startup call with you (30 min)
  • We do research on data
  • We document data quality assessment and give you proposal if you want us to perform the cleansing efforts
  • Data quality assessment review and next steps with you (1 hour)

  • A list of action items for data cleansing
  • Estimation from Avidly on cleaning the data as part of the migration

Phase 3

Data Migration

We follow this strict five steps process for performing the migration.

Step 1

Kickoff

  • Intro to migration specialist
  • Alignment on criteria, responsibilities and use cases
  • Introduction/overview of project plan
Step 2

Mapping

  • Intro to migration specialist
  • Alignment on criteria, responsibilities and use cases
  • Introduction/overview of project plan
Step 3

Test

  • Testing
  • A subset of data is sent through with mapping logic that was finalized
  • Multiple tests with same subset can be run with adjustments/verification*
  • Custom selection of records or different subset of data will be additional work

*Note that if the number of agreed tests to be exceeded, the client will be informed about the added costs.

Step 4

Full integration

  • Depending on API call limits/files could be 1-4 days on average
  • Integrations, workflows and fields configuration will be paused
Step 5

Quality Assurance (QA)

  • You give us feedback on the data accuracy
  • Inaccuracies will be checked by Avidly’s team
  • This process happens for two weeks after the migration has been completed

Common questions about HubSpot migrations

What kind of data can we move into HubSpot?

Basically anything and everything. Some kinds of data are tricky — such as contact behaviour history and interactions or activities — but can always be figured out.

What kind of data should we move?

We don’t advise taking all your data into HubSpot; only take relevant and up-to-date data.

For example, audit if you really need all the tasks and steps in your existing data. Because remember, HubSpot will populate and capture new data extremely quickly: Don’t feel like you need to migrate data ‘just in case you need it.’

Do we lose data in the migration process?

No — you’ll only lose what you want to lose. 

We’re confident in saying this because we put such importance on the initial assessment during the planning stages of the project.

What about our files and data? Can we still get them if needs be in the future?
Of course. Any old data sources will still be there in a static state — but HubSpot will be your new, live data source of truth.
When can we start using HubSpot with our data in the system?

This always depends on your project plan. It’s different every time — that’s why the initial assessment is so important to get right.

Your migration project will be the right length of time to ensure you get the data you need inside HubSpot and stored in all the right places.
